Job Description
The Department of Land Reform and Rural Development (DLRRD) is seeking to appoint an entry-level Secretary to provide essential administrative and secretarial support. This role is ideal for individuals with a Grade 12 certificate looking to gain valuable experience in a government setting. The successful candidate will be responsible for managing diaries, handling correspondence, organizing meetings, and providing general clerical support to a senior manager. This is a fantastic opportunity to develop your administrative skills within a public service environment. The position is based in Pretoria, Gauteng.
Key Responsibilities
Provide comprehensive secretariat and receptionist support to the Director.
Manage incoming telephone calls, directing them to the appropriate personnel.
Maintain and update the Director's diary, recording appointments and events.
Type and format documents, reports, and routine correspondence using word processing software.
Operate office equipment, including computers and photocopiers, efficiently.
Liaise with travel agencies to arrange travel and accommodation for the Director.
Process travel and subsistence claims for the unit.
Process invoices related to the Director's activities.
Take basic minutes of meetings as required.
File documents accurately for the Director and the unit.
Administer matters such as leave registers and telephonic accounts.
Receive, record, and distribute incoming and outgoing mail and documents.
Manage the procurement of office supplies such as stationery and refreshments.
Compile relevant documents to assist the Director in meeting preparation.
Stay updated on relevant public service and departmental policies and procedures to ensure efficient support.
Understand and apply departmental prescripts, policies, and other relevant documents.
Remain informed about office procedures and processes applicable to the senior manager's office.

Requirements
Applicants must be in possession of a Grade 12 Certificate.
Computer literacy (Microsoft Word, Microsoft Excel, PowerPoint, etc.).
A Diploma or Degree will be advantageous.
Good telephone etiquette.

Language skills and ability to communicate effectively both written and verbally.
