About the Job
The Department of Agriculture is seeking to employ an entry-level Secretary to provide essential administrative and secretarial support. This role is ideal for individuals with a Grade 12 certificate looking to gain valuable experience in a government setting. The successful candidate will support the Director, manage communications, organize schedules, and handle various clerical duties to ensure the smooth operation of the office. Key Responsibilities
Provide comprehensive secretarial and receptionist support to the Director.
Manage incoming and outgoing telephone calls, referring them to the appropriate personnel.
Maintain and update the Director's diary with appointments and events.
Type various documents, reports, and correspondence for the Director and other staff.
Operate and maintain office equipment such as fax machines and photocopiers.
Offer general clerical support services to the senior management.
Liaise with travel agencies to arrange travel and accommodation for the Director.
Verify travel arrangements upon receipt of relevant documentation.
Organize and coordinate meetings and events, including venue selection, invitations, refreshments, and scheduling.
Process travel and subsistence claims for the unit.
Manage the processing of invoices related to the Director's activities.
Record basic minutes for meetings as required.
Draft routine correspondence and reports.
Maintain an organized filing system for the Director and the unit.
Administer essential office matters such as leave registers and telephone accounts.
Receive, record, and distribute all incoming and outgoing mail and documents.
Handle the procurement of standard office supplies, including stationery and refreshments.
Collect necessary documents to assist the Director in preparing for meetings.
Stay updated on relevant public service prescripts, policies, and procedures to ensure efficient support.
Study and understand departmental policies and procedures to ensure proper application.
Remain informed about office processes and procedures relevant to the senior manager's work environment.

Requirements
Applicant must be in possession of a Grade 12 Certificate.
No previous experience required.
Diploma / Degree will be advantageous.
Knowledge of relevant legislation/policies/prescripts and procedure.
