Receptionist Internship at Umalusi
Job Description
Umalusi, the Council for Quality Assurance in General and Further Education and Training, is seeking a motivated individual to join their team as a Receptionist. This is an excellent opportunity for someone looking to gain practical experience in an administrative role within a statutory Quality Council that plays a crucial part in ensuring the quality of education provision in South Africa. The successful candidate will be responsible for managing the front desk, providing a welcoming environment for visitors, and ensuring efficient communication flow within the organization. This role offers a chance to develop essential administrative and customer service skills in a professional setting.
Key Responsibilities
Answer calls, screen them, and transfer them to the relevant unit or person.
Take and relay messages accurately.
Provide information to callers and resolve telephonic queries where possible.
Handle queries from the public and stakeholders professionally.
Receive walk-in visitors and clients, confirm their reason for visiting, and escort them to the appropriate employee or venue.
Receive mail and parcels, signing for them as required.
Liaise with the Records Unit and relevant employees for parcel collection at reception.
Develop weekly reports on reception activities.
Assist the Housekeeper with printing meeting schedules.
Maintain a clean and tidy reception area.
Support the Public Relations and Communication unit with other assigned duties.

Requirements
Grade 12 / Matric certificate or equivalent
Strong computer skills
Knowledge of Batho Pele principles and practices of basic office management
Telephone etiquette
Ability to manage the telephone/calling system
Knowledge of the education and training environment and NQF Levels.
At least one year of relevant experience as a receptionist or as a call centre agent (Advantageous)
Customer service or call centre related qualification (Advantageous)
Experience in working on a switchboard (Advantageous)
