Job Purpose
The internship involves supporting the execution of project work across different aspects of Project Management. This includes:
- Project planning and scheduling.
- Preparing for project meetings and documenting meeting minutes.
- Compiling comprehensive project reports.
- Coordinating various project activities to ensure smooth execution.
- Facilitating communication with internal stakeholders and, when necessary, with external customers.
- Assisting in the development and monitoring of project timelines and deliverables.
- Contributing to the overall success of projects by providing administrative and technical support.
This role offers a holistic view of the project lifecycle, from initiation to close-out, providing interns with practical exposure to the complexities and challenges of managing large-scale projects in the energy sector.
Key Responsibilities
The successful intern will support Senior Project Managers with a range of activities, including:
- Preparing Environmental, Health and Safety (EHS) plans with guidance from the EHS Manager or Site Safety Officer.
- Supporting project setup activities, including resource allocation and initial documentation.
- Assisting in the active execution phase of projects, monitoring progress and identifying potential roadblocks.
- Supporting project close-out activities, ensuring all deliverables are met and documentation is finalised.
- Participating in daily management discussions, offering insights and learning from experienced teams.
- Attending project meetings, contributing to discussions, and capturing key decisions.
- Coordinating project documentation, ensuring all records are accurate, up-to-date, and easily accessible.
- Working collaboratively with Project Administrators and Project Document Controllers to maintain organised project files.
- Ensuring all project documentation remains current and compliant with company standards.
Quality Management Support
The intern will work closely with the Quality Manager or Quality Advisor in reviewing project quality documentation. This may include:
- Reviewing Quality Plans to ensure adherence to standards.
- Assessing Inspection and Test Plans (ITPs) and ITPLs.
- Evaluating other project quality documentation to ensure compliance and effectiveness.
Applicants should therefore be comfortable working with formal project and quality-management documents, developing an understanding of quality assurance processes in a professional setting.
Project Planning Responsibilities
The successful candidate will assist with preparing and reviewing:
- Project execution plans, outlining the strategic approach to project delivery.
- Communication plans, detailing how information will be shared among stakeholders.
- Project schedules, ensuring realistic timelines and resource allocation.
The intern may also support the review and monitoring of project progress against established baselines, gaining experience in performance tracking and reporting.
Contract Management
The role includes undertaking contract reviews, providing exposure to the legal and commercial aspects of project delivery. While previous Contract Management experience is advantageous, it is not a compulsory requirement, making this an excellent learning opportunity.
Procurement Coordination
The intern will work closely with the procurement team to help ensure that equipment and resources are delivered on time. This is intended to support the timely execution of projects, highlighting the interdependencies within project management.
Risk Management
The successful candidate will assist with:
- Preparing project risk registers, identifying potential threats and opportunities.
- Updating project risk registers as projects evolve.
- Identifying new project risks and assessing their potential impact.
- Preparing early warnings where required, facilitating proactive risk mitigation.
This provides practical exposure to project risk-management processes, a critical skill for any project professional.
