Key Responsibilities
- Manage the diary of the manager efficiently using Outlook, setting up and accepting meetings.
- Track and monitor acceptances and declines for meetings, resolving issues independently or escalating when necessary.
- Liaise with relevant parties to re-schedule meetings based on requests from the manager or meeting organiser.
- Print all relevant documentation and prepare daily meeting packs for the manager's reference.
- Liaise with the in-house travel agency for domestic and international travel bookings, ensuring adherence to approval processes.
- Attend team meetings to take minutes, ensuring they are typed, approved, and distributed within agreed timeframes.
- Create socialisation rotation schedules for direct reports, booking meetings with key stakeholders and ensuring inclusion in formal orientation.
- Arrange venues and catering for team events, obtaining manager's approval on orders before placing them with suppliers.
- Liaise with stakeholders to secure dial-in pins for teleconferences and communicate details to attendees in advance.
- Assist the manager by screening incoming emails, redirecting queries to relevant direct reports, and following up for feedback.
- Create an online filing system for work prioritisation, filing dealt-with emails and bringing pending ones to attention.
- Act as the first point of contact for the manager, answering, screening, and re-directing telephone calls professionally.
- Assist visitors by directing them or signing for packages/documentation.
- Assist with typing and preparation of Word, Excel, and PowerPoint documentation.
- Set up and maintain a well-ordered, secure filing/retrieval system for printed documents.
- Take charge of general office administration, including ordering stationery and groceries, and restocking printers.
- Enforce company policy regarding procedures like travel, cell phone usage, and expense claims, controlling signatures and ensuring timely forwarding of documents.
- Retrieve bank property such as cell phones, 3G cards, and laptops.
