Key Responsibilities
Registering and allocating case numbers to all pleadings and Court documents.
Ensuring that files have been served to all parties concerned.
Drawing up files for litigants/attorneys and updating the file of return service/proof of services.
Safekeeping and disposal of case records.
Retrieving requested files and making them available to requesters.
Attending to queries from parties and members of the public.
Recording documents received and ensuring systematic recording of Court files.
Keeping records of requests received from litigants and attending to case management and set down notices.
Implementing case management practices and monitoring files and records.
Submitting leave forms to HR for compliance and maintaining registers for filing and archiving.
Complying with telephone prescripts and leave policies, and preparing performance agreements.
Checking the readiness of the Court prior to proceedings and testing CRT machines.
Capturing cases set down on the CRT machine and court book/J406.
Pre-scheduling cases and recording Court proceedings.
Adding parties’ details per Court appearance and related annotations.
Pausing, resuming, and stopping the recorder during Court sessions.
Setting up and operating equipment for testifying in the Children’s Court.
Annotating postponed cases and conducting regular backups of data.
Utilizing headphones to monitor accurate recording of Court proceedings.
Attending to requests for playback to verify Court orders and downloading to CD/USB.
Facilitating administration of recruitment, selection, and appointment processes.
Identifying funded vacant posts and coordinating the receiving and sorting of applications.
Providing support with conducting shortlisting and interviews, and capturing fingerprints.
Providing administrative support services and logistical arrangements for meetings.
Compiling minutes and memos, and handling incoming and outgoing office correspondence.
Ensuring a proper filing system for all records and compiling statistics on conditions of service.
Processing resettlement allowance payments and injury on duty information on PERSAL.
Capturing appointments and service terminations on PERSAL and providing leave credits.
Providing administrative support for Performance Management and Development System (PMDS).

Requirements
Grade 12/ Senior Certificate.
No experience required.
A valid driver’s license will serve as an added advantage.
Knowledge of working procedures in terms of the working environment.
Knowledge of registry processes and practice.
Knowledge of storage and retrieval procedures.
Knowledge and understanding of legislative frameworks governing the Public Service.
Knowledge of filling systems, mail procedure manual, Promotion of Access to Information Act and National Archives.
Knowledge of Batho Pele Principles.
Computer literacy skills (Microsoft Office).
Communication skills, numeracy skills, interpersonal skills, problem-solving and analysis skills, time management skills, administrative skills.
Ability to work under pressure, self-motivated, accuracy, ability to work independently, attention to detail, teamwork and flexibility.
A valid driver’s license.
Appropriate experience in general administration or Court related functions will serve as an added advantage.
Knowledge of the digital recording process e.g. system tests, recording equipment is properly functional, fault reports.
Knowledge of Court proceedings, knowledge of digital filing system, knowledge of manual filing system.
Technical skills, communication (written and verbal), interpersonal relations, typing, computer literacy (MS Office), planning and organising skills, administration skills.
Understanding of confidentiality in Government, flexible and ability to pay attention to details.
A 3 year National Diploma/Degree in Human Resource Management or equivalent qualification at NQF level 6 as recognised by SAQA and PERSAL introduction certificate will serve as an added advantage.
Knowledge of PERSAL system.
Knowledge and understanding of the legislative frameworks governing the Public Service.
Knowledge of Public Service Act, knowledge of Public Service Regulations 2016 as amended.
Customer services orientation, self-management, creative thinking and teamwork.
