St Stithians Girls’ College is seeking a dedicated and highly organised Music Administrator to join its vibrant and thriving Music Department. This pivotal role supports the smooth and efficient operation of music activities across both the Girls’ College and the Preparatory School, contributing significantly to the holistic development of confident young women. Key Responsibilities
- Managing Extra-Curricular Music Lessons: Oversee all administrative aspects of individual music lessons, including scheduling, student registration, attendance tracking, communication with parents and music instructors, and coordination of lesson timetables. This involves meticulous record-keeping and ensuring seamless operation of the Girls’ Music School.
- Handling Queries and Correspondence: Serve as the primary point of contact for email and face-to-face queries from parents, students, and music staff. This requires excellent interpersonal skills and the ability to provide professional, timely, and accurate information, fostering positive relationships within the school community.
- Financial Administration: Administer financial processes related to the Music Department, including managing invoices, tracking payments for lessons and events, reconciling accounts, and preparing financial reports. Strong numeracy skills and attention to detail are crucial for maintaining accurate financial records.
- Secretarial and Office Management: Perform comprehensive secretarial functions and general office management duties for the Music Department. This includes managing diaries, preparing documents, maintaining filing systems, and ensuring the efficient flow of information.
- Music Events and Functions Administration: Coordinate all logistical details pertaining to music events, concerts, and functions. This involves venue booking, communication with performers and attendees, program preparation, and on-the-day support to ensure successful execution of all musical showcases.
- Choir and Orchestra Management Support: Provide administrative support for the College’s choirs and orchestras, assisting with rehearsal schedules, performance logistics, and communication with student participants and conductors.
- Commitment to Professional Development: Actively engage in ongoing personal and professional development opportunities to enhance skills and knowledge relevant to the role and the educational sector.
- Upholding School Ethos: Demonstrate an awareness of the school’s unique nature and a willingness to commit to its all-round ethos, including participation in co-curricular activities and adherence to its pastoral approach, contributing positively to the school community.
- Compliance: Ensure compliance with all school policies and regulatory requirements, including obtaining a sexual offender’s clearance certificate prior to employment, as mandated for all staff working within a school environment.

- A suitable qualification and appropriate educational experience in a similar position
- Excellent command of English (verbal and written communication) is essential
- Advanced knowledge of Microsoft Excel, Microsoft Word and Microsoft Outlook is essential
- Exceptional planning and organising skills, with strong attention to detail and high level of accuracy in all work
- Strong numeracy skills including the ability to manage and administer financial processes effectively
- Excellent interpersonal and communication skills, with ability to liaise effectively and professionally with staff and external stakeholders
- The ability to demonstrate a positive and authoritative rapport with senior and junior students
- SACE registration will be considered an advantage.
