The Office of the Pension Funds Adjudicator (OPFA) is seeking a highly organized, detail-oriented, and reliable individual to join their team as an Information and Records Administration Intern. This 12-month internship offers a unique opportunity to gain practical experience in a crucial public sector environment, contributing to the efficient management of vital information and records. Key Responsibilities
- Receive, capture, sort, classify, and file both physical and electronic records diligently, adhering strictly to approved filing and records management procedures. This involves ensuring all documents are correctly categorized, indexed, and easily retrievable for future reference and audit purposes.
- Assist with comprehensive registry duties, which include the meticulous receiving, accurate recording, efficient distribution, precise tracking, and timely dispatching of all official correspondence and critical documents, maintaining a secure chain of custody.
- Provide essential support in the administration, registration, tracking, and systematic filing of determinations that are either received by or issued by the organisation, maintaining a clear and auditable record of all decisions.
- Execute the scanning, indexing, appropriate naming, and secure saving of records and determinations into their designated electronic folders or within the established document management system, ensuring data integrity and accessibility.
- Attend to enquiries from both internal staff and external stakeholders promptly and courteously, providing requested information where authorised, and escalating more complex or sensitive matters to the relevant official for resolution, ensuring high levels of customer service.
- Offer frontline assistance to users of the Information and Records Centre, effectively directing their requests to the correct service point to ensure efficient service delivery and user satisfaction, acting as a primary point of contact.
- Maintain various registers, diligently update tracking sheets, prepare routine administrative information, and provide comprehensive support to other Information and Records Centre staff with their allocated duties, fostering a collaborative and efficient working environment.

Requirements
- Relevant tertiary qualification or studies in Information Science, Library and Information Science, Archives and Records Management, Public Administration or a related field.
- Qualification or modules in Records Management, Archives Management, Information Management or Document Management (added advantage).
- Exposure to records administration, filing, scanning, customer service, frontline support or general office administration (added advantage).
