Job Description
Pick n Pay is seeking a dedicated and meticulous Buyers Clerk to join its dynamic team. This role is pivotal in providing essential administrative support to the buying department, specifically within the clothing retail sector. The successful candidate will play a crucial part in ensuring the smooth operation of the buying cycle, from sample management and documentation to stakeholder liaison and data integrity. The Buyers Clerk will be instrumental in maintaining accurate records, facilitating communication between various departments and suppliers, and ensuring that all administrative tasks align with the critical path of product development and delivery. This role requires a proactive approach to problem-solving and a commitment to upholding Pick n Pay's high standards of quality and efficiency.
Key Responsibilities
- Sample/Prototype Management: Oversee the lifecycle of product samples and prototypes, ensuring all fits are accurately set up and conducted in alignment with the critical path.
- Documentation Management: Effectively manage all sample documentation, ensuring that samples of all styles are consistently available and correctly organised.
- Review Sample Control: Take charge of controlling and tracking review samples to facilitate timely decision-making.
- Seal Request Management: Timeously request local and indirect seals to guarantee on-time allocations and delivery to stores.
- Administration and Record Keeping: Maintain accurate records of lab dyes, print approvals for suppliers, and update these on the 26-week schedule. Control and manage buying-related files, including photographic records of ranges.
- Stakeholder Management: Cultivate close working relationships with suppliers, conducting regular standstills with the team to address outstanding queries and monitor delivery statuses.
- In-Season Trading Support: Assist in preparing necessary samples and documentation for weekly departmental sales meetings.
- Marketing and Online Sample Management: Ensure products are passed to the online team promptly with all relevant information completed as requested, and manage the control of marketing and online samples.
- Article Creation and Master Data Management: Create clothing and pre-pack articles from Buyers Capture Sheets, change selling prices (Direct or DC) to ensure accuracy, and maintain Imports Data in SAP and the Imports System.
- Data Integrity and Auditing: Audit and maintain values to ensure prices on source documents match SAP, amend Article Indicators as per Buyer/Planner instructions, and update article master data based on vendor/buyer/planner requests.
- Query Resolution: Respond to and resolve all business queries timeously, ensuring data integrity for list/delist transactions and system amendments when products change source of supply.
