Key Responsibilities
Perform general administrative duties.
Manage incoming and outgoing correspondence.
Maintain and organise filing systems and records.
Capture data accurately and efficiently.
Assist with general office coordination tasks.
Provide registry counter services.
Handle incoming and outgoing mail.
Operate office machines such as fax machines, scanners, and photocopiers.
Process documents for archiving and disposal.
Render supply chain management support services.
Assist with asset management and demand/acquisition services.
Provide logistical support and report on supply chain management activities.
Provide secretarial and reception support.
Manage diaries and appointments.
Type documents and draft routine correspondence.
Arrange meetings and events, including venue booking and refreshments.
Process travel and subsistence claims and invoices.
Record basic minutes of meetings.

Requirements
Grade 12 (NQF Level 4) or equivalent.
No experience required for Administration Clerk and Provisioning Administration Clerk roles.
Prior learning through experience or alternative courses may be considered for the Secretary role.
Internship completion in Public Service will be given preference for the Secretary role.
Knowledge of relevant Public Sector Policies, Legislation, Regulations and Acts.
Knowledge of Departmental policies and procedures.
Good interpersonal skills.
Organising and planning skills.
Communication skills (written and verbal).
Computer literate (Microsoft Word, Excel, Power Point, etc.).
Knowledge of registry duties, practices, and data capturing.
Understanding of the legislative framework governing the Public Service.
Knowledge of storage and retrieval procedures.
Good telephone etiquette.
Sound organisational skills/events management.
High level of reliability.
Ability to act with tact and discretion.
Good presentation skills.
Ability to do research and analyse documents and situations.
Analytical and innovative thinking ability.
Problem-solving skills.
Must be able to obtain a confidential security clearance within a year (for Secretary role).
Supply Chain Management Certificate will be an added advantage (for Provisioning Administration Clerk).
